POS Emirates Trading LLC ("POS Emirates", "we", "us") operates posemirates.com and provides business software, hardware and IT services in the United Arab Emirates. Our office is at Bay Square, Business Bay, Dubai. This policy explains how we handle personal data in line with the UAE Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data and other applicable laws.

Data we collect

• Contact details you provide through forms, email, phone or WhatsApp, such as name, company, email address and phone number.
• Enquiry details including the products you are interested in and the message you send.
• Usage data such as pages visited, device type and approximate location, collected through analytics cookies where you consent.
• Customer account data for businesses that use our software, including user names, roles and activity logs necessary to provide the service.

How we use data

• To respond to enquiries, arrange demos and prepare quotations.
• To deliver, support and improve our software and services.
• To send service notices and, with your consent, marketing updates you can opt out of at any time.
• To meet legal obligations, including tax and accounting record keeping.
• To protect our systems and prevent misuse.

Legal basis

We process personal data to perform a contract or take steps before a contract at your request, to comply with legal obligations, with your consent where required, and for our legitimate interests in operating and improving our business, balanced against your rights.

Cookies and analytics

This website uses essential cookies for security and functionality, and analytics cookies (Google Analytics via Google Tag Manager) only if you accept them in the cookie banner. You can change your choice at any time through the cookie settings link in the footer. We do not sell personal data.

Sharing

We share data only with service providers who help us operate, such as cloud hosting in the UAE, email delivery and analytics, under agreements that protect your data; with hardware manufacturers where needed for warranty claims; and with authorities where the law requires. We do not share customer business data stored in our software with third parties except as instructed by the customer.

Customer data in our software

Businesses using POS Emirates software are the controllers of the data they enter, such as their own customers, employees and transactions. We act as a processor, hosting that data in UAE-based infrastructure or on the customer's own servers, and process it only on the customer's instructions and to provide support.

Retention

Enquiry data is kept for up to 24 months after our last contact unless you become a customer. Contract, invoice and tax records are retained for the periods required by UAE law, generally five years. Analytics data is retained according to the settings of the analytics provider, typically 14 months.

Security

We use encrypted connections, access controls, regular backups and monitoring to protect data. Staff access is limited to what their role requires. No system is completely secure, and we will notify affected customers and authorities of any breach as required by law.

Your rights

You may request access to, correction of or deletion of your personal data, object to or restrict certain processing, withdraw consent and request a copy of your data. Contact privacy@posemirates.com and we will respond within the time required by law after verifying your identity.

International transfers

Where a service provider processes data outside the UAE, we ensure appropriate safeguards are in place as required by UAE data protection law.

Children

Our website and services are intended for businesses and are not directed at children under 18.
